Meal prep software for small business: the best pick for small kitchens

If you're cooking anywhere from a couple dozen to around 150 orders a week, you don't need enterprise software. You need a store, weekly subscriptions, prep totals and cheap texts, at a price that doesn't eat your margin. Here's what each platform really costs a small kitchen.

Quick answer: Prepwork is the best software for a small meal prep business.

It's $9 a month flat with unlimited meals, orders and customers, and you pay nothing until your store goes live. At 80 orders and 500 texts a month it costs $19. The next cheapest plan with subscriptions and texting, Bottle Growth, is $99.

Why flat pricing matters when you're small

When you're small, every dollar of software is a dollar you didn't take home. And most meal prep platforms price in tiers, which means the bill climbs right when the kitchen starts doing well.

Three things to watch for:

Prepwork is one plan. $9 a month, no contract, no setup fee, and unlimited meals, orders and customers. Your bill at 20 orders a week is the same as your bill at 150, plus 2¢ per text segment.

For a growing kitchen at 150 orders and 1,500 texts a month, the gap gets wider: $39 on Prepwork, about $129 on Bottle Growth and $384 on GoPrep. See the full GoPrep pricing breakdown if you're on it now.

What a small kitchen actually needs

What you need every week

  • An online store with weekly cutoffs
  • Weekly subscriptions with skip and pause
  • Prep totals and shopping lists
  • Pickup, delivery or both, by ZIP code
  • Cheap texts for reminders and order updates
  • Card, Apple Pay and Google Pay
  • Someone to call when something breaks

What you might be paying for

  • POS, HR scheduling and franchise tools
  • Extra location add ons at $10 to $150 a month
  • A catering module at $250 a month
  • A monthly fee just to have a texting number
  • Website setup fees of $299 to $500
  • A higher tier just to get subscriptions

Those big operations tools are real, and some kitchens need them. If you're a one to three person kitchen, you'd be paying for them every month whether you use them or not.

A note on per order fees: Prepwork's is 1.9%, GoPrep's is 1.35% to 1.5%, and MealTrack lists none. Customers pay these at checkout, so they don't come out of your pocket. The monthly bill is the part that comes out of your pocket.

What about free plans?

Bottle's Starter plan is free, and it's a fair way to test an idea. Just know what comes with it. Customers pay a 5% service fee on every order, you get one fulfillment method, and subscriptions aren't included until the $99 Growth plan. Shopify isn't free either: the Basic plan is $39 a month, and a pickup and delivery app like Zapiet takes it to about $89 a month before you add subscriptions, texting or routes.

Prepwork works differently. You build your whole store for free and pay nothing until you go live. After that it's $9 a month, with subscriptions and every other feature included.

Help when you need it

A free setup call

Every new kitchen gets a setup call with a real person, not a video library.

Custom features

Trevor, the founder, builds custom features for kitchens on request.

Prepwork started in 2023 as a tool for a friend's kitchen, PBB Meal Prep. Its owner, Brekyn Swanson, puts it simply: "Now that I am using their platform I am saving thousands of dollars every year." Kitchens on Prepwork have taken over $1.5 million in orders and 17,000+ deliveries and pickups.

Getting started on a small budget

  1. Build your store for free. Your branded store lives at your-name.prepwork.io, with sizes, calories and macros on every meal.
  2. Send your menu however you have it. Spreadsheets or screenshots both work, usually imported the same day.
  3. Bring your customers. From a spreadsheet, Google Forms, Instagram DMs, or a Shopify or Square customer list.
  4. Set pickup and delivery. Each gets its own days, times, cutoffs and ZIP codes.
  5. Turn on weekly subscriptions and the texts you want, like win back, cart and birthday texts.
  6. Go live for $9 a month. No contract, so you're never stuck.

We also looked at KitchenFuel and Happy Meal Prep, but neither publishes pricing, so we couldn't compare them here.

Our pick for small kitchens: Prepwork. $9 a month for everything, a free setup call, and a founder who picks up the phone. See how it ranks against all six platforms in our best meal prep software ranking.
